IBMA announced special hotel reservation procedures

IBMA has just announced special hotel pricing and reservation procedures for this year’s World of Bluegrass events to be held in Nashville, TN September 25-October 1, 2006. These prices and the block of rooms that are earmarked for reservations are for exhibitors or attendees of last year’s event. The hotels have a list which they will check names against. You should make you reservations through the Nashville Central Reservations Department. IBMA has asked that you not call hotels directly for room reservations for World of Bluegrass. The special rates are only available by calling the central reservations office.

ROOMS AVAILABLE TO YOU AND MINIMUM STAY REQUIREMENT (Renaissance) –
In order to make this offer to all of last year’s Business Conference attendees, we ask that you make reservations only for the rooms you or your company need during this special reservation period. Reservations during this time period must also be for a minimum of four nights or more per room at the Renaissance, which is the host hotel connected to the Nashville Convention Center. All other properties DO NOT have a minimum night stay requirement.

DEPOSITS & GUARANTEES
Each individual will be required to leave a credit card number at the time their reservation is made to guarantee their accommodations. THE HOTELS WILL PROCESS A DEPOSIT TO THE CREDIT CARD FOR EVERY ROOM RESERVATION AFTER AUGUST 24, 2006.
All deposits are 100% refundable if cancellation or changes are made prior to August 24. (See below.)

RESERVATION CANCELLATIONS & CHANGES
Any cancellation or changes to room reservations made after August 24, 2006 may be subject to a fee equal to one night’s room stay and related taxes.

“JAMMING” AND “QUIET” ROOMS AVAILABLE AT ALL PROPERTIES
All hotel properties will allow “jam sessions” on designated floors of their property and only guests assigned to those floors will be permitted to host jam sessions during IBMA events. There will also be accommodations designated as quiet areas, and no jam sessions will be permitted in those areas. Consider your preference when choosing your room type and confirm it when making your reservation.

CONFIRMING YOUR ROOM RESERVATION
The Nashville housing bureau will email, fax or mail an acknowledgement for every reservation, modification or cancellation. Review acknowledgements carefully for accuracy. You will not receive a separate confirmation from the hotel. Hotels will make every effort to meet your requests for specific room types and locations on a first-come, first served basis. However, specific room assignments cannot be guaranteed.

Convention registration packets will be mailed in early summer of 2006 with ticket sales to events beginning June 1. If you have additional questions or concerns, contact IBMA.
